Job Posting : Office Manager/Event Planner (Flexible Hours)

The Great Swamp Watershed Association (GSWA), a Morristown-based environmental nonprofit, seeks a passionate and organized part-time Office Manager/Event Planner. This position offers a flexible 20 hour per week schedule (4-6 hours per day, 4-5 days per week) for a professional interested in working at a friendly, mission-driven organization. GSWA is dedicated to protecting the water and land of the Great Swamp watershed and the Passaic River region.

The Office Manager/Event Planner will provide general office duties, manage the annual gala fundraiser, and plan and execute periodic fundraising, social, and program events throughout the year. The ideal candidate will be a proactive, detail-oriented individual with strong computer skills, and experience working in Microsoft Office, databases (DonorPerfect a plus) or other similar software applications.

Office Manager Key Responsibilities:

  • Answer phones and direct calls.
  • Process daily inbound/outbound mail.
  • Oversee office supplies inventory and purchasing.
  • CRM data entry.
  • Generate donation receipts and acknowledgement letters.
  • An opportunity to contribute articles to our twice-yearly print newsletter and monthly electronic newsletter.

Event Coordinator Key Responsibilities:

  • Produce creative graphics and flyers used to promote events and programs.
  • Add events to website and update content as needed (knowledge of WordPress a plus)
  • Coordinate the gala, GSWA’s largest fundraiser of the year. Gala duties include auction item solicitation and organization, collaboration with vendors and consultants, ongoing report generation, and coordination with staff, board, and volunteers, and more.
  • Schedule and organize periodic on/off-site meetings, social events, and speaker programs from inception to completion.
  • Coordinate logistics of events and meetings including attendee management.
  • Generate relevant reports.

Qualifications:

  • Proficiency in Microsoft Office Suite and database management including ability to generate reports and create spreadsheets (WordPress, Canva, and DonorPerfect experience preferred- .
  • Prior office management and event planning experience.
  • Vendor management experience.
  • Efficient and organized and work well independently and as a team member.
  • Excellent follow-up on time sensitive items as well as high attention to detail.
  • Ability to troubleshoot problems and find solutions.
  • Excellent written and verbal communication skills.
  • Ability to prioritize and work well under pressure.
  • Establish and maintain event budgets.

The GSWA Office Manager/Event Coordinator position requires self-motivation, organization and efficiency, and excellent people skills. Occasional early morning, evening, and weekend work required. Extra hours will be required for the Gala fundraising event that typically occurs in October. Candidates should be high school graduates (or higher) with executive administrative experience and proficiency in business skills (managing office phones and equipment, strong MS Office skills, and database management). Candidates should have experience in an administrative assistant role and in event planning. Non-profit experience is a plus. Must have a valid New Jersey driver’s license and own vehicle. Ability to lift 30 lbs. for event set up and break down. Great Swamp Watershed Association is an Equal Opportunity Employer.
